Troubleshooting task loading

Introduction
Nooks connects to a variety of Sales Engagement Platforms (SEPs) and Customer Relationship Managers (CRMs) to allow you to dial contacts and prospects.
Loading these call tasks into Nooks is a crucial step for dialing. Sometimes, you might have issues loading in the prospects you wish to dial. This article covers some general troubleshooting steps to use when tasks are not pulling into Nooks as expected, as well as specific steps for each integration supported by Nooks.
General steps
1) Try refreshing tasks in Nooks
In the top middle of your Nooks dialer you can see when your tasks were last loaded. Nooks does not sync tasks over "real time" -- so if your list, sequence, cadence etc was updated in your integrated tool, you'll need to click refresh tasks in the Nooks dialer.
Clicking this button will also attempt to pull in the current tasks for the selected sequence. If it has been a while since you last refreshed tasks, Nooks might not being seeing the latest tasks due.
2) Confirm the correct list or sequence is selected
Double check you've selected the correct sequence, cadence, or list. This can be done in the top left of the dialer. In the screenshot below, the current select is All Sequence Tasks.

3) Check your filters on the Nooks Dialer
The dial list in Nooks can be filtered by different columns. Clearing the filters can show tasks that might otherwise be hidden. You can check if tasks are being filtered by looking above the column headers. For example, in the screenshot below it shows that 14 tasks have been filtered and there is a blue "clear" button. Try clicking that button to see if the tasks appear. If so, it means there was a filter on in the dialer that was preventing those call tasks from showing.

4) Check "uncallable" tasks and other dialer sections.
The Nooks dialer is organized so that the tasks for calling will be in the top section in the dial list.
Depending on your active Dialer settings, if you scroll down, there might be other sections such as a:
"Cold Number" section -- contains prospects whose numbers are less likely to pick up and are recommended to call last.
Dial tree section -- Contains prospects whose numbers are identified as dial trees
Virtual assistant section -- Contains prospects whose numbers are identified as virtual assistants.
Uncallable section -- tasks may be uncallable if the prospect has been snoozed, marked as DNC, has an invalid phone number or has no phone number. You can see the uncallable tasks at the very bottom of the dial list.

Integration specific steps
The sections below outline specific troubleshooting steps depending on the integration you have connected to Nooks where you are pulling your call lists or call tasks. When troubleshooting, first determine which integration you're using to dial.
HubSpot
To troubleshoot HubSpot tasks not loading into Nooks, first check if you’re calling from HubSpot segments or sequences. HubSpot segments will pull in a list of every contact in that segment -- they do not need a call task attached to them. When a call is completed from Nooks, a completed call task will be attached to that contact in HubSpot. HubSpot sequences, on the other hand, do require a call task on the contact. Lastly, Nooks can also fetch one-off call tasks (call tasks on a HubSpot contact, and the call tasks are not part of a sequence).
If calling from segments, check:
Are there more than 2000 contacts in the segment?
Nooks can only pull in 2000 contacts at a time due to API limitations and performance concerns. You can click on the unloaded tasks to try to load them into Nooks, as the screenshot below shows.

If there are more than 2000 contacts in a segment, we recommend breaking the list down into smaller lists, and loading those individually into Nooks. This will result in better performance in Nooks.
If you’re calling from sequences, check:
The sequence tasks (in HubSpot) are assigned to you.
You can check this by going to any contact in the sequence and going to the Activity tab. For example, on the screenshot below, we can see the sequence task is assigned to the rep Matt Boyden. This means only Matt Boyden will be able to load this task into Nooks.

The sequence tasks are due or overdue.
Nooks will not pull in future tasks.
A refresh of Nooks + HubSpot can sometimes help populate sequences and sequence tasks:
Step 1: Make sure you have the Nooks Chrome extension installed.
Step 2: Log in to HubSpot, open a HubSpot tab, go to sequences in HubSpot. Keep this tab open on the side.
Step 3: In a separate tab open Nooks and refresh the Nooks page. You should now be able to see your HubSpot sequences in the sequence drop down and load the tasks.
Outreach
To troubleshoot Outreach tasks not loading into Nooks, please check the following expected behavior for loading tasks:
The task needs to be due or overdue.
The task needs to be assigned to you in Outreach.
The task needs to be a call task. Nooks doesn’t pull in email or LinkedIn tasks, for example.
Nooks will pull in the oldest 1000 tasks assigned to you. You can try to pull in additional tasks by clicking on the “Tasks not loaded” button, as seen in the screenshot below. In general, Nooks recommends using sequences with less than 1000 tasks due for optimized performance.
A common issue is dialing from the All Tasks list -- if you have many Outreach sequences with many tasks, the All Task list can hit this 1000 limit. Calling by the specific sequences can help.

Salesloft
To troubleshoot Salesloft tasks not loading into Nooks, please check the following expected behavior for loading tasks:
The task needs to be due or overdue.
The task needs to be assigned to you in Salesloft.
The task needs to be a call task. Nooks doesn’t pull in email or LinkedIn tasks, for example.
Nooks will pull in the oldest 500 tasks assigned to you. You can try to pull in additional tasks by clicking on the “Tasks not loaded” button.
Salesforce
Nook supports several ways to dial from Salesforce. These are covered here:
General Salesforce troubleshooting
Nooks uses your own personal Salesforce connection to pull in call tasks or prospects. The general rule is you need to have permissions to veiw that contact, lead, task, etc in Salesforce in order for Nooks to be able to pull it into the dialer.
If dialing from reports, which is the most common way, the report needs to have some form of WhoID. In other words, there needs to be a person that Nooks is calling, whether that be a contact, a lead, etc. Please see the help doc here for more guidance.
Apollo
To troubleshoot Apollo tasks not loading into Nooks, please check the following expected behavior for loading tasks:
The task needs to be due or overdue.
The task needs to be assigned to you in Apollo.
The task needs to be a call task. Nooks doesn’t pull in email or LinkedIn tasks, for example.
Nooks will pull in the oldest 1000 tasks assigned to you. You can try to pull in additional tasks by clicking on the “Tasks not loaded” button.
Gong Engage
To troubleshoot Gong Engage tasks not loading into Nooks, please check the following expected behavior for loading tasks:
The task needs to be due or overdue.
The task needs to be assigned to you in Gong Engage.
The task needs to be a call task. Nooks doesn’t pull in email or LinkedIn tasks, for example.
Nooks will pull in the oldest 1000 tasks assigned to you. You can try to pull in additional tasks by clicking on the “Tasks not loaded” button.
