Nooks AI Prospector Setup - Gong Engage

Objective:
The Nooks x Gong Engage Integration allows you to connect Gong Engage to your Nooks account as a Sales Engagement Platform (SEP). This allows Nooks’ AI Prospector to pull relevant fields/information from Gong Engage, in order to populate the necessary Custom Field Mappings for Nooks AI Prospector to work.
Background:
Due to the unique nature of Gong Engage as an SEP, a 7-10 minute processing period can be expected for all flights that use custom emails. This processing period is not exclusive to Nooks, and can be expected with all Gong Engage partners.
The Integration User selected must be both a CRM Admin AND a Gong Engage Admin to complete these setup steps.
Steps:
Connecting the Gong Engage Integration
To set up your Gong Engage Integration with Nooks:
Click on the gear located in the upper right corner.
Hover over the “Integrations” option and click on the “Connect Gong” option.
From there, simply authenticate your Gong Engage account, and the integration with Nooks will complete!
Creating a Custom Contact Field in Salesforce
Now that your Gong Engage account has been successfully integrated with Nooks, we’ll need to create a few variables in your CRM, Salesforce, so that your Gong Engage flows (more on that in the next section) will have something to reference.
We’re going to want to create Custom Contact Fields for both of the following so you will have to run through these steps twice:
"AIP_Email_Body"
"AIP_Email_Subject"
To make a custom field on Salesforce, navigate to your Salesforce home page and click on the gear in the upper right hand corner followed by the Setup option. Please note you will have to be a Salesforce admin in order to create a custom field.
Next, we’re going to want to select the Object Manager tab, find the “Contact” option, and click “Fields & Relationships.”
Click “New” in the upper right.
Scroll down and select “Text Area (Long)” and then click the “Next” button.
Fill in the Field Label and Field Name with one of the custom contact field names above ("AIP_Email_Body" or "AIP_Email_Subject").
You won’t need to select an exact character account under the Text Area (Long) category, but if prompted, set it to the max of 131,072. Choose the # of visible lines you’d like as well. You may include a description and help text to help you identify this new customer field, although that is completely optional. Once that’s completed select the “Next” button.
The next page will allow you to determine permissions for which profiles will have access. We recommend selecting “Visible” and not selecting “Read Only” for all profiles so that they have Read/Write access.
From here, select what page layouts you would like to make this visible for and hit the “Save” button.
Be sure to repeat these steps for whichever of "AIP_Email_Body" or "AIP_Email_Subject" you did not complete.

Creating Flows in Gong Engage
Next, we’ll need to create a flow in Gong Engage. To do so:
Open up a new window and visit Gong, navigate to the sidebar and select the “Flows” option under the “Engage” header.
Once on the Flows page, select the “+New” button in the upper right and choose the “New flow” option.
On the following page, name the Flow and select where you’d like to save the Flow.
From there, you’ll have the option to add steps you’d like to add to the Gong Engage Flow by clicking the “Add step” button. Examples of steps you can add include Manual email, Automated email, Call, LinkedIn connect/LinkedIn Message, or Task. As you add steps, you’ll have the option to set the number of days between each step.
Please note that for purposes of this setup, the Automated Email step is required to be first. This is how the first touch Email can be sent using Gong Engage.Once you’ve added all your steps, you can rearrange them how you’d like by clicking and dragging them. Once they’re in an order you like, click Save.

Enabling variables on Gong Engage
Next, we’ll want to enable a variable in Gong Engage. To do so, click the {} icon along the bottom toolbar and select the Manage Variables option.
This page will import variables from the CRM associated with Gong Engage. You’ll be able to enable the appropriate variables from here by making sure “Create variable” is selected. We’re going to want to make sure that the variables that we created in the Creating a Custom Contact Field in Salesforce section, "AIP_Email_Body" and "AIP_Email_Subject", have the “Create variable” box checked.
Configuring Custom Fields on Nooks AI Prospector
Now that your Gong Engage account has the necessary variables enabled, we’ll need to set the Gong Engage Custom Field Mappings. To do so:
Navigate back to Nooks, and make sure the AI Prospector tab along the Nooks upper toolbar is selected.
Select the “Workspace” tab along the left hand column and scroll down to the section titled “Gong Engage Custom Field Mappings (uses the same fields as the CRM).”
For each field, select the appropriate field for the question asked. Please note Gong Engage does not allow for custom SEP fields, and instead maps to the fields of the associated CRM.

FAQs
Why were my prospects not immediately added to my Gong Engage flow? Shouldn’t Nooks trigger the flow immediately?
Gong Engage is a bit different from other SEPs in that Gong Engage does not actually house its own data. Instead, Gong Engage references your Customer Relationship Management (CRM) Software for the most up-to-date information, pulling updates about every 6 minutes. To make sure that Nooks pulls the most up-to-date information, please allow a processing period of 7-10 minutes after hitting "Run flight” in Nooks, before Nooks initiates the workflow. There will be no additional action needed on your end for the workflow to initiate after this 7-10 minute period has passed.
Please note that this processing period only applies to sequences that use custom emails. If no custom emails are used, then the sequence will run immediately.
Can we have multiple SEPs connected at the same time?
No, it’s not possible to have multiple SEPs connected at the same time. If you’re looking to switch your company’s account over to a different SEP integration, please reach out to Nooks support.
Why is my Gong Engage option showing up as greyed out?
It’s likely that your company already has an SEP such as Outreach or Salesloft integrated with Nooks. As it’s not possible to connect more than one SEP to your company’s Nooks’ account, you’ll want to have your admin reach out to Nooks support to disconnect the SEP integration in place so that you can connect the Gong Engage integration.
How can I tell if my Gong Engage integration is connected in Nooks?
To check if Gong Engage is successfully connected, click on the gear icon in the upper right hand corner, and hover over the “Integrations” option. From there, you’ll be able to see the status of your Gong Engage integration with a successful connection being marked with a green dot.
