Nooks Activity Writeback to Salesforce

This guide will walk through the settings that admins can configure to customize how activities log to Salesforce, the fields into which data is mapped for different task types, and the Salesforce User permissions required for activity logging in Nooks.
Background
Once Nooks is connected to Salesforce, users’ future activity will automatically log to Salesforce, keeping your CRM the source of truth and enabling you to report on activity within Salesforce.
General Overview of Which Nooks Activities Are Logged to Salesforce
Nooks logs the following activities to Salesforce:
Tasks from Nooks Sequences (e.g., manual and automated emails, calls, LinkedIn Connection Requests and Messages, and action items)
One-off tasks from Nooks (e.g., manual emails, calls, and action items)
Follow-up LinkedIn Message tasks
Emails sent from Gmail for which Nooks tracking was enabled
Inbound email replies to emails sent with Nooks
Inbound calls fielded in the Nooks Dialer
General Overview of How Activities Are Logged to Salesforce
When Nooks logs activities to Salesforce, Nooks logs them with the following attributes:
All activities are logged as Task records.
Each Task record is attached to one Lead record or one Contact and Account.
All activities contain "Nooks" in the
Task.Subjectfield to distinguish Nooks activities from activities created manually or via other tools.Nooks writes certain data to Task records by default. Other data, primarily that identifying the Sequence associated with the task, can be mapped to custom Salesforce fields.
Workspace Activity Logging Settings
Nooks admins and users with the "Manage CRM Settings" permission can navigate to Settings > All Settings > CRM Settings (under Integrations) to customize how activities are logged to Salesforce.
Salesforce Task Mappings
In the Task Mappings tab of Nooks CRM Settings, admins can designate certain Salesforce fields for Nooks activity data. We recommend creating these custom fields to store this data. Under each of the following taps, map the Nooks fields to the custom fields you’ve created on the Task object.

Note: If any of the Nooks Sequencing fields are not mapped to a Salesforce field, Tasks will still log to Salesforce successfully. However, that Nooks data will not appear anywhere on the Task records.
Controlling Which Activities Are Logged to Salesforce
Within the Advanced Settings tab of Nooks CRM Settings, use the Log Activities For setting to control whether Nooks logs activities when they are created (the All Activities option) or when they are completed (the Only Completed Activities option).

[Recommended] Log Activities For = Only Completed Activities
When the Log Activities For setting is set to Only Completed Activities, Nooks will only create Tasks in Salesforce for activities that have been completed.
When a task is logged, it will appear in the historical section of the Activity related list on the associated Lead, or Contact and Account.

Use this configuration if you only want to report on Tasks that are actually completed.
Log Activities For = All Activities
When the Log Activities For setting is set to All Activities, Nooks will create an open Task in Salesforce as soon as a one-off or Sequence task is created in Nooks. For prospects in Sequences, an open Task is created in Salesforce when a prospect advances into a step.
Tasks that are pending completion will appear in the “Upcoming & Overdue” section of the Activity related list on the corresponding Lead, or Contact and Account. Some fields on the Task will not yet be populated with a value.

When the task is completed in Nooks, Nooks will update the same Task record to a completed Task and populate the outstanding fields. After these updates, the task will move into the historical section of the Activity related list.
If a prospect is finished in a Sequence early or is removed (either manually or via automation), any upcoming Tasks in Salesforce will be deleted. Similarly, if a task is skipped in Nooks, the corresponding "open" Task will be deleted from Salesforce. These tasks will surface in the Salesforce Recycle Bin for review.
Use this configuration if you want to report on upcoming (i.e., pending completion) and completed tasks.
Note on Task Type Compatibility with the [Log Activities For = All Activities] Configuration
This configuration is compatible with the following Nooks task types:

This configuration is not compatible with the following Nooks task types, meaning they will only be logged after the activity is completed:

The following section will discuss how different task types logged by Nooks appear in Salesforce.
Email Tasks
Outbound Email Tasks
Nooks logs reps’ emails from Sequences (manual and automated), one-off tasks, and Gmail (if the email is opted into tracking) to Salesforce. When an email task is logged, it will be associated with the primary recipient’s Lead or Contact and Account record, which will cause it to surface on the associated record(s)’s Activity related list.
The data in the table below will populate in the indicated Salesforce fields for email Tasks that are logged to Salesforce by Nooks. The way Nooks logs tasks depends on your Log Activities For Workspace setting.
If Log Activities For = All Activities:
When a task is created in Nooks, an open Task will be created in Salesforce. The values for this initial task are in the “Open Task Values” column.
This is considered an “Open” Task.
When the task is completed in Nooks, the open Task will be updated to a completed Task and additional data will be populated on the Task. The final values for this Salesforce Task are in the “Completed Task Values” column.
This is now considered a “Completed” Task.
If Log Activities For = Only Completed Activities:
Only when a task is completed in Nooks, will the Task be created in Salesforce. The values for this Task are in the “Completed Task Values” column.

Inbound Email Tasks
Nooks logs inbound emails if they are threaded replies to outbound emails sent with Nooks. The reply will be associated to the prospect’s Lead, or Contact and Account, record(s), which will cause it to surface on the associated record(s)’s Activity related list(s). The task will be assigned to the Nooks user who initiated the thread.
The following data will populate in the indicated Salesforce fields for inbound email replies that are logged to Salesforce by Nooks.
Note: Inbound email replies are never logged to Salesforce before they are completed, even if Log Activities For = All Activities for the Workspace.

Call Tasks
Nooks logs reps’ outbound calls from Sequences and one-off tasks, as well as calls inbounded in the Nooks Dialer, to Salesforce. When a call is logged, it will be associated with the prospect’s Lead or Contact and Account record, which will cause it to surface on the associated record(s)’s Activity related list.
The data in the table below will populate in the indicated Salesforce fields for call Tasks that are logged to Salesforce by Nooks. The way Nooks logs tasks depends on your Log Activities For Workspace setting.
If Log Activities For = All Activities:
When a task is created in Nooks, an open Task will be created in Salesforce. The values for this initial task are in the “Open Task Values” column.
This is considered an “Open” Task.
When the task is completed in Nooks, the open Task will be updated to a completed Task and additional data will be populated on the Task. The final values for this Salesforce Task are in the “Completed Task Values” column.
This is now considered a “Completed” Task.

When a LinkedIn Message task is logged, it will be associated with the recipient Lead, or Contact and Account, record(s), which will cause it to surface on the associated record(s)’s Activity related list(s).

Notes on Task Logging
The following points will be true of all Tasks Nooks logs into Salesforce.
If the
WhoIdon a Task is Lead, there will be noWhatId. Salesforce's native Task logging architecture prevents attaching a WhatId when the WhoId is a Lead. Because Nooks is logging into Salesforce, Nooks must respect this Salesforce limitation.The fields mapped for Sequence Name & Sequence Step will always be null for Nooks tasks that did not originate from a Sequence.
The following points will be true for all email Tasks Nooks logs into Salesforce.
Nooks will log the body of the email into the
Descriptionfield. Salesforce has a 32,000-character limit for this field. Email bodies will automatically be truncated if they exceed this limit.Email attachments are not logged to Salesforce, even if the email to which they are attached is logged.
Salesforce Permissions Required for Nooks Activity Logging
When Nooks logs activities to Salesforce, Nooks uses the permissions of the user who is executing the activity. Nooks users must have read/write access to any fields used for activity logging. These permissions can either be granted via Salesforce profile or permission set.
Nooks logs Salesforce activities via API. In order for Nooks to successfully log activities, each Nooks user must have API access in Salesforce.
Each user needs to be able to log into Salesforce.
Timing of Salesforce Activity Logging
Activities are logged to Salesforce in near-real time. You should see them within your Salesforce instance within a couple of minutes of completion.
Identifying Tasks Created by Nooks in Salesforce
The best way to identify tasks logged to Salesforce from Nooks Sequences is by looking at the Subject field. All Nooks Sequencing tasks will contain “[Nooks]” in the Subject field. In Salesforce reporting, you can filter activities to only Nooks Sequencing tasks by filtering for Tasks where Subject contains “Nooks”.

Identifying Outbound Email Tasks Created by Nooks
To identify outbound email tasks created by Nooks in Salesforce reporting, you can filter activities by applying the following filters:
Task.Subjectcontains “[Nooks] [Email Out]”Task.TaskSubtype= “Email”Task.Status= “Completed”This filter is only necessary for teams that have the Log Activities For = All Activities setting. For teams with Log Activities For = Only Completed Activities, this filter is redundant.
You can also add a filter for the field and value your team custom-mapped to Nooks’ “Task Type Outgoing” field in CRM Settings > Task Mappings > Email Tasks. However, this filter should not change the Task results if you have already applied the Task.Subject filter mentioned above.
